Scope and responsibility

This policy covers the JANVYA HRMS, Payroll and Employee ESS web and mobile services. The subscribing employer ordinarily decides why employee data is used and who may access it. Kalp Code Private Limited operates JANVYA according to the customer agreement, configured permissions and applicable law.

Responsibility may vary by deployment and contract. Employees should first contact their employer’s authorised HR or privacy representative for requests about employment records.

Information handled by JANVYA

Depending on the modules enabled by the customer, JANVYA may handle identity and contact details; employment, organisation and compensation records; attendance, leave and shift data; payroll, tax, benefits and masked payment information; claims, loans, documents and letters; approval, helpdesk and offboarding records; and device, session, security and audit evidence.

Biometric-device identifiers, GPS, geofence or selfie evidence are handled only when the customer enables an approved capture workflow and configures the required notice, authority, access and retention controls.

Why information is used

JANVYA uses information to provide employee administration, attendance processing, leave, payroll, statutory workflows, ESS, approvals, documents, support, security, fraud prevention, audit history, reporting and customer-authorised integrations. Data is not used to build advertising profiles and is not sold.

Authority, notice and consent

The customer must identify and document the lawful authority for each processing activity. Where consent is required, the customer must provide a clear notice and a practical method to withdraw consent. Optional high-sensitivity capture such as GPS or selfie attendance must not be enabled without the applicable employee notice and approvals.

Access and sharing

Access is limited by tenant membership, role and permission. Information may be shared with authorised customer users, contracted infrastructure or service providers, customer-selected banks or integration partners, and government or statutory authorities when instructed or legally required. Production subprocessors and data-location commitments must be recorded in the customer agreement.

Security and audit controls

JANVYA uses tenant isolation, role-based access, controlled sessions, maker-checker workflows, audit trails and encryption-capable transport and storage. Customers remain responsible for correct user access, approved devices, secure credentials, prompt leaver deactivation and review of privileged activity.

Retention and deletion

Retention is determined by the customer’s configured policy, employment and statutory requirements, contractual commitments and active disputes. Data that is no longer required should be deleted or de-identified through an approved workflow. Backups may remain for a limited recovery period and are protected from ordinary use.

Employee choices and requests

Subject to applicable law and the employer’s obligations, individuals may ask for access, correction, grievance handling, withdrawal of consent where relevant, or deletion of data no longer required. Requests should be raised through the employer’s authorised contact or JANVYA helpdesk. Escalations concerning the service can be sent to contact@kalpcode.com.

Cookies, changes and contact

JANVYA uses necessary session and security storage to authenticate users, retain authorised preferences and protect the service. It does not require third-party advertising cookies.

Production review

These product policies describe JANVYA’s intended operating controls. The customer’s signed order, data-processing terms and policies apply where they differ. Qualified legal review is required before production acceptance.
