Service and agreement
These terms govern access to JANVYA HRMS, Payroll and Employee ESS. The signed order form, implementation scope, support terms and data-processing terms form part of the customer agreement and take priority if they expressly differ from this page.
Accounts and authorised use
The customer may permit only authorised employees, managers, administrators and approved service personnel to use JANVYA. Accounts must be individual, access must match job responsibility, and credentials must not be shared. The customer must promptly disable access that is no longer required.
Customer configuration and records
The customer is responsible for accurate employee data, organisation settings, approval matrices, attendance policies, salary structures, statutory applicability, bank and accounting mappings, retention rules and user permissions. Imports and integrations must be reviewed before they are committed to production records.
Payroll and statutory controls
JANVYA supports calculation, validation, maker-checker, lock, payment-evidence and compliance workflows. The customer remains responsible for qualified payroll and legal approval of PF, ESI, Professional Tax, Labour Welfare Fund, TDS, minimum-wage and other applicable rules, expected-result datasets, filings and payments before live use.
Employee ESS
ESS displays only information released to the linked employee account. Customers must verify employee identity, consent where applicable, manager assignment and payslip or document release controls. ESS access does not replace the customer’s employment policies or formal notice processes.
Acceptable use
Users must not bypass permissions, probe another tenant, upload malicious content, misuse biometric or location data, interfere with service operation, reverse engineer protected service components, or use JANVYA for unlawful discrimination, surveillance or unauthorised decision-making.
Integrations and third parties
Bank, biometric, email, messaging, accounting, statutory portal and ERP integrations may be governed by separate provider terms. The customer authorises only the connectors it enables and is responsible for provider credentials, mappings and transaction approval. A displayed status is not bank settlement or statutory filing confirmation unless verified evidence says so.
Security, confidentiality and availability
Each party must protect confidential information and follow the security responsibilities in the customer agreement. Planned maintenance, emergency security work, customer systems or third-party outages may affect availability. Production service levels, support channels, backup targets and disaster-recovery commitments must be stated in the signed order.
Ownership and customer data
Kalp Code Private Limited retains rights in JANVYA software, design and documentation. The customer retains rights in its business and employee data. The limited service licence ends when the agreement ends; export, retention and deletion follow the signed agreement and applicable law.
Suspension, termination and legal terms
Access may be restricted for a material security risk, unlawful use, non-payment under the order or serious breach, with notice where practical. Termination rights, fees, warranties, liability allocation and dispute handling are governed by the signed customer agreement and applicable law.
